Www.HotelsUkraine.com.ua is a trading name of Arktur Ltd (hereafter called HotelsUkraine.com.ua), a company registered in Ukraine with licence number АВ № 566474. Any bookings made through our web site are subject to your acceptance of the terms and conditions outlined below:

Online bookings (credit or debit cards)

• All reservations can be accomplished with full prepayment only

• Online payment is possible by the following type of credit cards : Visa, Mastercard . Payment by Amex is possible only offline.

• All payments are debited in Ukrainian Hrivnas according to the currency exchange rate, valid on the day of the reservation

• All payment transactions take place on protected server of Privat Bank (LiqPay system) and are 100% secure

• In the case of failed credit card transactions we reserve the right to cancel unpaid services and all vouchers will be nul and void.

Credit Card Security

On the advice of our credit card authorisation company, we are occasionally required to request a signed credit card authorisation form and a photo copy of your passport for identification purposes. This measure is in place for your own security and protection against fraudulent use of credit cards.

Reservation  

In order to book services via HotelsUkraine.com.ua the Client should search for available options using search facility on the web site.  

The Client can add as many services as he needs into his basket, created when the first service is chosen by the client.

After agreeing to the terms and conditions of the system and after completing the registration form, the Client is transferred to secure payment system of Privat Bank to process payments.

Service Voucher is sent to Client’s e-mail address only if payment transaction is successful.

Peculiarities of Privat Bank LiqPay secure payment system

In order to process payment, the Client should have access to his cell phone. In order to verify identity of the Client and to minimize potential risk of frauds with credit card transactions, during the payment process the Client will be requested to provide his phone number, where an SMS will be send. The SMS is going to contain a special unique code that the Client needs to input into the system in order to proceed with payment for his booking.  

Attention! The cell phone number should be input strictly as follows: +38 055 5555555 or 38 055 5555555, where 38 – country code, 055 – cell phone operator code, 5555555 – cell phone number. Important! SMS will NOT be delivered if any other formats of phone number input are used (0038 055 5555555 etc.)

Cancellations

Cancellation fees for groups will be advised upon confirmation.
Cancellation fees for individuals are charged as follows, per room (in selected currency):

• 3 days or more prior to arrival : 3% off the total cost of the reservation

• 48 hours or less prior to arrival : First night accommodation charge or, in case with transfers and sightseeing, 100% of the total cost of the service/

• Same day (arrival day), No show and During stay: No refunds for unused accommodation or other travel services, offered on the web site.

With exception of certain hotels and services, whose cancellation terms appear on the information pages prior to booking and on your booking summary and voucher:

EURO 2012 in Ukraine individual Football Championship bookings are 100% NON-REFUNDABLE. Name changes are not permitted. (Travel dates 01/06/2012-10/07/2012)

14:00 – 18:00 is considered to be a regular arrival time to a hotel (local time). Earlier or Later arrivals may be subject to additional fees or special booking conditions.

Visa to Ukraine

Passports and visa are your responsibility.

Citizens of the following countries do not require visa to enter Ukraine for a less than 90 days stays : Austria, Azerbajan, Andorra, Armenia, Belgium, Belorus, Bulgaria, Vatikan, Great Britain, Holland (Neitherlands), Greece, Georgia, Denmark, Ireland, Iceland, Spain, Italy, Kazakhstan, Ccanada, Kirgiztan, Cyprus, Southern Korea, Latvia, Lithuania, Lihtenstein, Luxemburg, Malta, Moldova, Monacco, Germany, Norway, Poland, Portugal, Russia, Romania, Slovakia, Slovenia, USA, Tadzikistan, Hungary, Uzbekistan, Finland, France, Check Republic, Switzerland, Sweden, Estonia, Japan.

Citizens of Turkey can receive visa to enter Ukraine upon arrival airports of Kiev (Kiev Boryspol airport), Odessa, Simferopol. In order to get a visa on spot, client must show original voucher and visa support letter, confirming their stay in Ukraine. Requests for such documents can be sent to res@hotelsukraine.com.ua.

All other nationals must apply for visa at the country of their travel beforehand.

Cost of visa support letter amounts to 30 Euro and is a non refundable service.

All cancellations must be notified to HotelsUkraine.com.ua in writing and acknowledged by us to the customer.

Amendments

In order to apply changes to a reservation (e.g. guest name, last name, arrival or departure date, amount of booked services, change of a room type or class of hotels, change of class of services etc.), Client of the web site has two options :

-       process new reservation and cancel the old one visa the web site

-       to send written changes to e-mail address res@hotelsukraine.com.ua

Amendment fees are applied in the following way :

-       if amended in 3 days or more before the service date – 3%from the total amount of the booking

-       if amended in 48 hours prior to the service dates – first night cancellation fee (in case with accommodation services), 100% of the cost of transfers and sightseeing.  

There is no fee applied for changes of names and last names of the clients BUT the period of Euro 2012 championship 01.06-10.07.2012. All changes must be sent in written to res@hotelsukraine.com.ua , are subject to availability and are accepted (are guaranteed) only after our confirmation of these changes to the client. .

Minimum stay

Certain rates are valid only for ‘minimum stay’ period as indicated. If you book for more or fewer nights the hotel reserves the right to offer an alternative rate appropriate for the duration requested.

For the period of Euro 2012 championship accommodation in the host cities (Kiev, Donetsk, Kharkov, Lviv and the nearby towns) are bookable for a minimum period of 3 nights .

Booking Deadlines

HotelsUkraine.com.ua is able to accept online bookings up to the day of the check in, depending upon a hotel.

Additional Hotel Charges

You must make payment for all services that are not included on your voucher (e.g. meals, phone call charges, laundry and mini-bar) directly to the hotel prior to check out.

Errors

HotelsUkraine.com.ua cannot be held responsible for any costs incurred as a result of incorrect dates or data input by the client. It is your responsibility to supply the correct dates and information for all services requested.

Complaints

If you have a genuine complaint concerning your accommodation and cannot resolve it with the hotel directly, you must report it to HotelsUkraine.com.ua immediately using the emergency number on your voucher or booking summary. We will attempt to resolve the matter or seek an alternative for you locally if appropriate. Upgrades will incur additional cost to you. Complaints concerning accommodation cannot be dealt with after the event if you fail to report it at the time.

Consent

By consenting to our terms of booking, you confirm that you are at least 18 years of age.

Force Majeure

HotelsUkraine.com.ua shall not be liable for any failure or delay in performance of its obligations which results directly or indirectly from any cause or circumstance which is beyond its reasonable control. Without limit to the generality of the foregoing, the following shall be regarded as such circumstances: acts of God, outbreak of hostilities, riot, civil disturbance, acts of terrorism, revolution, the act of any government or authority), fire, flood, lightning, explosion, fog or bad weather, interruption or failure of a utility service (including but not limited to electricity, gas, water or telecommunications), renovations undertaken by the hotel, or strikes.

Changes to your reservation

If we cause any change to your travel arrangements within 7 days prior to arrival, we undertake to offer a similar or superior standard of accommodation without additional cost to you, or a prompt and full refund of all monies paid. In the highly unlikely event that it is not possible to provide accommodation of a similar or superior standard, we will offer compensation of $50 (or equivalent in currency selected) per person and prompt and full refund of all monies paid, unless the cause is by reason of force majeure.

Contact details

If you fail to provide your correct email address and telephone number with country code, we cannot be held responsible for your failure to receive documents and messages concerning the status of your reservation. We reserve the right to cancel reservations when we are unable to contact you if necessary.
